1. Acceptance of Terms
Welcome to Vita Health RCM. By accessing our website or using our Revenue Cycle Management (RCM) services, you agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree with any part of these terms, you must not use our services.
2. Services Provided
Vita Health RCM provides healthcare support services including but not limited to:
- Medical Coding (ICD-10, CPT, HCPCS)
- Medical Billing and Claims Submission
- Accounts Receivable (AR) Follow-up
- Credentialing and Contract Negotiation
- Patient Demographic Entry and Verification
We strive to ensure accuracy in all our services; however, the final responsibility for medical documentation and patient care remains with the provider.
3. HIPAA Compliance & Confidentiality
We implement strict technical, physical, and administrative safeguards to protect PHI. Our global delivery centers (US and India) operate under secure, encrypted VPNs, and all employees undergo mandatory HIPAA training.
4. Client Responsibilities
To ensure successful billing outcomes, the Client (Healthcare Provider) agrees to:
- Provide accurate and complete patient information and medical records.
- Respond to queries regarding coding clarification within 48 hours.
- Notify Vita Health RCM of any changes in practice location, NPI, or insurance contracting status.
- Maintain compliance with all federal and state laws regarding medical necessity.
5. Fees and Payments
Service fees are outlined in the specific Service Level Agreement (SLA) signed by the client. Typically, fees are based on:
- Percentage of Collections: Invoiced monthly based on the net amount collected.
- FTE Model: Fixed monthly rate for dedicated staff.
Invoices are due within 15 days of receipt. Late payments may incur interest charges as detailed in your SLA.
6. Termination
Either party may terminate the service agreement with 30 days' written notice unless otherwise specified in your contract. Upon termination, Vita Health RCM will provide a secure handover of all data and pending claims status reports.
